Key Responsibilities:

As an Operations Coordinator, your main tasks will include:

  • Scheduling and Calendar Management: Send calendar invites to meeting prospects based on details from cold-calling transcripts. Ensure that all appointments are scheduled accurately and timely.
  • Client Communication: Draft and send value-driven emails to prospects scheduled for meetings, keeping them informed and engaged.
  • Reminder Emails: Send timely reminder emails to prospects before their scheduled meetings, with reminders sent at different intervals.
  • Client Updates: Inform clients about the status of their upcoming meetings, ensuring all parties are aligned and aware of any updates.
  • Meeting Facilitation: Join scheduled meetings to facilitate entry for both parties and initiate conversations if necessary, ensuring meetings proceed smoothly.
  • Feedback Collection: Gather feedback from clients after meetings and communicate this back to the team for continuous improvement.
  • Record Keeping: Maintain an organized and updated record of meetings, invites, reminders, and rescheduling details to ensure smooth operations.
  • Effective Communication: Maintain professional and timely communication with all parties involved to ensure operational efficiency and client satisfaction.
