ChemTech Prochimica is a leading company in the chemical industry, located in Faisalabad, Punjab, Pakistan. We specialize in the production and distribution of high-quality chemicals and solutions. We are currently seeking a highly motivated Executive Assistant to provide administrative and executive support to our Director. This full-time, on-site position requires an individual who is organized, efficient, and able to handle multiple tasks in a fast-paced environment.


Job Responsibilities

As an Executive Assistant, your primary duties will include:

  • Administrative Support:
    • Provide administrative assistance to the Director, including preparing correspondence, reports, and presentations.
    • Maintain an organized filing system for important documents and records.
  • Scheduling and Coordination:
    • Manage the Director’s schedule, arrange meetings, and coordinate appointments to ensure efficient time management.
    • Prepare and distribute agendas, meeting materials, and minutes for meetings as needed.
  • Communication and Liaison:
    • Act as a liaison between the Director and internal stakeholders, including employees, managers, and other departments.
    • Manage communication with external stakeholders, clients, and vendors on behalf of the Director.
  • Project Management:
    • Assist the Director with special projects, including conducting research, data analysis, and preparing reports.
    • Help manage project timelines and ensure deliverables are met.
  • Information Management:
    • Maintain accurate and up-to-date records, including confidential files, databases, and other documents.
    • Ensure that information is organized and easily accessible for the Director.
  • Travel Arrangements:
    • Coordinate travel arrangements for the Director, including booking flights, accommodations, and transportation.
    • Prepare itineraries and ensure travel details are communicated in advance.
  • Budgeting and Finance:
    • Assist with budgeting, financial reporting, and managing expenses related to the Director’s office.
    • Track expenses, prepare reports, and ensure compliance with financial protocols.

Qualifications

To be successful in this role, you should meet the following qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field (preferred).
  • Proven experience as an Executive Assistant or in a similar administrative support role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and time-management skills with the ability to multitask and prioritize effectively.
  • Exceptional written and verbal communication skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently and as part of a team.
  • Familiarity with budgeting and finance tasks is a plus.
