Topspot Media is looking for a highly organized and proactive Executive Assistant to support our CEO. In this role, you will be responsible for managing a variety of administrative tasks, data analytics, social media insights, and event coordination. The ideal candidate will have a strong background in film, media, or marketing with 3-4 years of relevant experience. You will work closely with the CEO and be a key part of ensuring smooth communication and operational efficiency across the company.


Key Responsibilities

  • Administrative Support: Act as the primary point of contact for the CEO, managing emails, calls, and correspondence.
  • Calendar & Meeting Management: Organize and maintain the CEO’s calendar, schedule meetings, and ensure the CEO is well-prepared for all engagements.
  • Data Management: Utilize tools like Google Sheets to enter, organize, and analyze data. Create and interpret dashboards, providing actionable insights.
  • Social Media Analytics: Track, analyze, and report on social media metrics, providing insights to inform strategies and improve engagement.
  • Travel Coordination: Plan and book travel arrangements, including flights, accommodations, and itineraries for the CEO.
  • Team Collaboration: Act as a liaison between the CEO and other departments, facilitating smooth communication and project execution.
  • Event Coordination: Assist in organizing company events, meetings, and presentations as required.
  • Document Preparation: Draft, edit, and proofread documents, reports, and presentations for the CEO.
  • Relationship Management: Maintain positive relationships with clients, partners, and internal teams on behalf of the CEO.

Qualifications & Requirements

  • Education: Bachelor’s degree in Film, Media, Marketing, or a related field.
  • Experience: 3-4 years of experience in a similar role, preferably in a creative or marketing environment.
  • Skills:
    • Proficiency in Google Workspace (Sheets, Docs, Slides) and data visualization tools.
    • Strong understanding of social media platforms and analytics tools.
    • Excellent verbal and written communication skills.
    • Strong organizational and multitasking abilities.
    • Cheerful and professional demeanor with the ability to maintain confidentiality.
    • Problem-solving mindset with a keen attention to detail.
