The Executive Personal Assistant will play a critical role in providing personal and administrative support to the executive team. This full-time on-site position involves managing daily activities, assisting with communication, coordinating meetings, and handling clerical tasks. The ideal candidate will be someone with a keen eye for detail and excellent organizational skills who can manage competing priorities efficiently.
Key Responsibilities
- Personal Assistance: Provide personal support to executives, managing day-to-day tasks such as appointments, personal reminders, and errands.
- Executive Administrative Assistance: Handle routine administrative tasks, including organizing meetings, managing emails, and maintaining communication across departments.
- Diary Management: Maintain and update executives’ schedules, ensuring timely appointments, meetings, and deadlines are met.
- Clerical Support: Perform general clerical tasks like filing, data entry, document preparation, and correspondence management.
- Communication Liaison: Act as a point of contact between the executive team and internal/external stakeholders, ensuring smooth communication.
- Task Prioritization: Ability to prioritize tasks and handle multiple responsibilities simultaneously with an eye for detail.
- Proactive Problem-Solving: Anticipate executive needs and provide solutions to help increase productivity.
Qualifications
- Education: A bachelor’s degree in Business Administration, Communications, or a related field.
- Skills:
- Strong communication and interpersonal skills.
- Excellent organizational skills and a systematic approach to task management.
- Experience in diary management and ability to manage conflicting schedules.
- Strong clerical skills, including handling office equipment, filing, and data management.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive and confidential information with discretion.
- Experience in an executive assistant or personal assistant role is a plus.
