Xcentric Services is seeking a Project Coordinator with previous software house experience to join our team. As a Project Coordinator, you will play a key role in managing projects and ensuring smooth workflow between various departments such as Account Services, Creative, Engineering, Production, and Finance. This is a fantastic opportunity for someone experienced in working within a digital or software development environment, especially with expertise in managing projects in the tech and development field.
Responsibilities
In this role, you will be expected to:
- Project Management: Organize, schedule, and manage project tasks based on client guidelines and internal processes to ensure timely project completion.
- Client Interaction: Act as the primary point of contact for clients, maintaining excellent client communication and ensuring their needs are met effectively.
- Documentation: Update and distribute project reports such as Daily Hot Sheets and Weekly Status Reports to keep team and clients informed.
- Cross-functional Collaboration: Work closely with internal teams (Creative, Engineering, and Business Management) to ensure the smooth execution of digital marketing and software development tasks.
- Quality Control: Uphold and maintain high-quality standards for all projects, ensuring that client requirements are accurately met.
- Financial Monitoring: Monitor and track the financial status of projects, run budget vs. actual reports, and assist in managing the project budgets.
- Reporting: Report to management on project statuses, client interactions, team performance, and potential issues or risks.
- Administrative Duties: Prepare and manage the required financial documentation, obtain necessary signatures, and ensure proper project financial records are kept up to date on relevant platforms.
Qualifications
To be successful in this role, you should have:
- Educational Background: Bachelor’s degree required (preferably in Business Administration, Project Management, or a related field).
- Experience: Minimum of 1 year of experience in a similar role within a marketing agency or software house environment.
- Skills:
- Strong project management and organizational skills.
- Excellent communication skills, both written and verbal, with the ability to manage client relationships.
- Solid understanding of digital project workflows, development, and marketing processes.
- Experience using project management tools (e.g., Asana, Jira, Trello).
- Proactive attitude and the ability to anticipate team and client needs.
