As a Personal Secretary, you will be responsible for managing schedules, offering general administrative assistance, and ensuring smooth daily operations. This is a full-time remote role that requires exceptional organizational, clerical, and communication skills.


Responsibilities

  • Diary and Calendar Management: Coordinate and manage the calendars of executives, schedule meetings, and make necessary adjustments to plans.
  • Administrative Support: Offer executive-level administrative assistance, helping with paperwork, correspondence, and other clerical tasks.
  • Confidentiality: Maintain discretion when handling confidential information and important documents.
  • Communication and Coordination: Serve as the point of contact between executives, team members, and external partners, ensuring smooth communication and quick response times.
  • Travel Arrangements: Assist in planning and booking travel, including flight and hotel bookings, car rentals, and travel itineraries when required.
  • Task Management: Handle and prioritize multiple administrative tasks, ensuring that deadlines are met effectively and efficiently.
  • Documentation: Organize and maintain company records, correspondence, reports, and files, ensuring they are up to date and easily accessible.
  • Meeting Preparation: Prepare agendas and materials for meetings, take minutes, and follow up on action items.

Qualifications

  • Experience: Prior experience in a Personal Assistant, Secretary, or Executive Administrative role is a plus.
  • Skills:
    • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
    • Excellent organizational and time management skills, with the ability to juggle multiple tasks efficiently.
