Key Responsibilities

  • Clerical & Administrative Support:
    • Perform general administrative duties, such as taking regular Minutes of Meetings (MOMs) and maintaining digital records.
  • Manage Correspondence:
    • Oversee incoming and outgoing communication, including emails, letters, and packages, ensuring timely delivery and appropriate response.
  • Data Entry & Record Keeping:
    • Assist with data entry tasks to maintain accurate records and databases, ensuring consistency and accuracy.
  • Answer & Direct Calls:
    • Handle phone calls professionally, directing them to the correct departments or individuals when necessary.
  • Interdepartmental Coordination:
    • Serve as a liaison between various departments, ensuring effective communication and collaboration, and ensuring task completion across teams.
  • Retail Outlet Administration:
    • Support retail outlets with administrative tasks, assigning tasks to relevant parties and following up to ensure completion.
  • Basic Bookkeeping:
    • Assist with basic accounting functions such as tracking expenses, processing invoices, and managing vendor relations.
  • Office Supplies Management:
    • Oversee office supplies inventory, ensuring timely ordering and replenishment of necessary supplies.
  • Support Special Projects:
    • Assist other team members with special projects as needed, contributing to a variety of operational tasks.

Qualifications

The ideal candidate will possess the following qualifications:

  • Education:
    • Bachelor’s or Master’s degree in Business Administration, Management, or a related field.
  • Experience:
    • Minimum 2 years of experience in an administrative and coordination role, with a focus on handling international operations.
  • Industry Experience:
    • Experience as a liaison between clients and head office is highly preferred.
    • A background working with international NGOs, logistics, or procurement is a plus.
  • Skills:
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with advanced skills in Excel preferred.
    • Familiarity with project management tools like Trello, Asana, or similar tools is beneficial.
    • Strong organizational and multitasking skills, with an ability to prioritize and meet deadlines effectively.
    • Excellent verbal and written English communication skills are essential.
    • Strong interpersonal skills with a focus on relationship-building across teams.
  • Other Requirements:
    • Familiarity with UK business culture and the ability to work UK business hours (9 AM–5 PM GMT) is desirable.
    • Adaptability to changing priorities and work schedules is a must.
    • Ability to work independently with minimal supervision while maintaining high accuracy in tasks.
